Whomever would be in charge of the OHGenWeb chat room meeting would be able
to conduct it in an organized fashion. Since this would not be like a
"regular/normal" open chat setting, i think it would be a good idea to try. I have
organized some really good special chat topics with guest speakers who were
certified genealogists and the chat discussion went very smoothly because I
organized a plan outline for the chat members to follow when we had these
discussions. Our regular general genealogy chat seesions are just open discussions
but chatters still know the topic needs to stay mainly on genealogy but
sometimes they do go off topic which is fine as long there is no bickering or
filth being chatted.

Chat room meetings are possible although the larger the group, the more
difficult they are. I have rarely seen a business type meeting be
successful with more than 4 or 5 people. It also makes a difference how
experienced those present are with chat rooms. By the way, many of those
who hang around a chat room are multi tasking and simply ready to help or
talk with someone who stops by, not such a waste of time after all.
I maintain a genealogy chat room on my volunteer web site. I can offer to
create a sub-room for OHGenWeb online meetings there. What is neat about it, is
that I can request a transcript of the chat meeting from the chat server and
forward it to the person who would be typing up the minutes of the OHGenWeb
meeting.
Everyone would have to create their own unique user name & password to get
into the room. I could also have the subroom created to be password protected
so that only the OHGenWeb folks will be able to enter it.
We could elect a person(s) to moderate the meeting and they will have the
advantage to control any situation that gets out of hand. But we must carefully
choose this person(s) to moderate the meeting.
(THIS JUST AN IDEA & OFFER I AM TOSSING OUT THERE) - This might be something
to consider if we choose to try to use a chat room setting for OHGenWeb
meetings. We could always try it once to see how it works out. I am willing to
help if possible. I can even give pointers on how to keep the meeting
organized. I do this for our special genealogy topics when we have a guest speaker to
do a discussion/chat presentation.
In my genealogy chat we have volunteer chat HOSTS & MODERATORS. The chat
hosts are there to help people with look ups or give genealogy advice. The
MODERTATORS are in there late evenings EST to make sure everything is going
smoothly. The volunteer HOSTS & MODERATORS do have control to take care of any
situation that "Might" get out of hand" (which is not often) and they can either
kick the troubled person out or ban them from the chat room. We hold general
genealogy chats most evenings and special scheduled chat topics. We also do
not have problems with spam bots getting into chat room. The chat room has
been open since Feb 03, 2005 and we have had very little problems with it.

There is such a thing as online meetings, not via email but by way of
say a private chat room. This could easily be set up with an agreed time
that both west coast and east coast people and everyone in between could
be involved. I have been involved in many online meetings using this
system, mostly real time interviews of a noted person but the idea is
the same.
There is monitor who controls the meeting and recognizes someone to
speak. The meeting is also automatically recorded so there is no need
for someone to take minutes although usually the meeting is summarized
after the fact.
I don't hang around a lot of chat rooms as I see them as a waste of time
but this idea could work for us. I'm not talking about conducting all
our business this way but once or twice a year would work.

The affairs of the OHGenWeb Project shall be conducted in accordance

Parliamentarians' "Standard Code of Parliamentary Procedure" (aka
"Sturgis"), subordinate to U.S. laws, the bylaws of the USGenWeb
Project, these bylaws, and adopted rules.
