Dear USGenWeb State Coordinators...
I am sending this to all SCs and ASCs listed on the USGenWeb state page.
GenConnect is attempting to come up with some new policies to try to
prevent the type of misunderstanding that we have just seen over the boards
that were taken away from a CC in Ill and Ky earlier this month.
We have just set up a new board that we will use to keep you, the state
coordinator, informed of problems we might be having with a CC who is not
maintaining their GenConnect boards. If they are not maintaining their GC
boards there is a good chance they are not maintaining their county pages
either. It is our hope that the new procedure outlined below will be of
help to both you and GenConnect and provide a means for us to be able to
keep each other informed and work together.

This URL is *** N O T *** to be given to anyone that does not have a
reason to have it and is *** N O T *** to be posted to ANY list! Our
intention with this board is to open the communication between GenConnect
and the USGW SCs and we do not want the general CC population to know about
it. This is not because we have anything we want to hide, but we do not
want to unnecessarily hurt anyones feelings or embarrass them by anything
posted there either, by us or by you.
GENCONNECT PROCEDURE WILL BE:
1. If the admin email notices begin bouncing and we have to
temporarily close a board because of them, we will post
a list of the boards that admin has that we have closed
to posting. This does NOT mean that the boards have been
taken away from the admin/CC... it means that their email
is bouncing and we have closed the board to posting until
they can get their problem corrected. When the problem
has been corrected we will remove that message from the
board and the orphan page.
2. If we are asked to close a board or boards by an admin
because they are going on vacation, or because we are
notified they are ill or have other family matters that
will prevent them from monitoring their boards, we will
post it here when we close them. Again... this does NOT
mean they have lost their boards... only that we have
temporarily closed them to posting by the public. When
they are again able to resume maintaining the boards we
will open their boards back up and remove the message
from the board.
3. If we have to take an admin's boards away from them, we
will post it here and will either post the documentation
showing why we have done so or provide the appropriate SC
with the documentation upon request.
4. If we have taken the boards away from a CC, for whatever
reason and we post it on the board, we will give the SC
48 hours in which to notify us that they want the boards
or that they have a new CC coming onboard that will want
them before we officially post them on the orphan page.
That will give you time to contact us.
5. If a CC notifies us they no longer want a board, we will
post it to the board when we close it. If you have someone
else in the state that wants to maintain the board, let us
know within 48 hours. Afte 48 hours it will move onto the
orphan page where it will be available to the first person
who asks for it.
NOTE: If we have taken a board away from an admin because they
have wiped their board [deleted all the queries or data], they
will NOT be allowed to have it back under any circumstances.
Queries or data posted to a GenConnect board does not belong
to that admin, nor does it belong to GenConnect... it belongs
to the person that posted it and they expect to find it when
they return. If we know they are doing it before they finish
we will immediately change the pw and let them know it is not
allowed. If it was a misunderstanding and they agree not to
do it again, we will restore the data and their pw. If they
do it again, they will immediatedly be be removed, the password
changed, the queries or data restored, and they will not be
allowed to have it back. NO EXCEPTIONS!!!
WHAT YOU CAN DO TO HELP:
1. If you are interested in knowing if we have a problem with
one of your people, subscribe to the email notification
list for the USGW/notices board.
2. If you have a CC that is ill or on vacation let us know by
posting it on the board. If we start having a bounce problem
we can check the board to see if you have notified us about it.
When they return post another note so we'll know and can reopen
their query board.
3. If you have an orphan coordinator, or someone else, that babysits
county websites during times of vacation or illness, ask them if
they will also babysit the boards so they don't have to be closed.
If you will let us know we'll be glad to issue a temp pw to the
person monitoring the board so they can change the email address
and handle any maintenance. They can give that pw to the CC when
they return so they can change everything back.
4. If you have a CC that has disappeared, let us know about it
so we can do whatever we might need to do to close the board
or transfer it to someone else.
GenConnect invites the USGW SCs to join with us and try to work together to
make your job and ours easier. We don't have time for one on one...
remember GenConnect has somewhere in the neighborhood of 12000 boards right
now and adding somewhere around 500 to that number each week. Time is a
luxury we just don't have. However, if both GC and the SCs will utilize
the new notice board I think we can compliment each other and hopefully
avoid the type of controversy of the past few days. The board will also
give you the needed information to answer any questions that might crop up
on your state lists concerning a missing or problem CC. I think it's safe
to say that GC usually knows there is a problem long before the SC does.
Maybe this new procedure will give you a heads up on potential problems
you'll have to deal with toO.
