Good evening! I know we have several new transcribers and a couple of new proofers in our
group, so wanted to post a reminder to everyone to be sure NOT to use the back button on
your browser when transcribing images. Once you submit a transcribed record on an image,
it's vital that you don't use your back button to go back and make corrections to
the record - either if you hit the 'enter' key by mistake or if you realize you
didn't complete all of the fields. If you use the back button, you'll actually
end up overwriting the record for the next image with incorrect information and you
won't even realize it. This creates two incorrect records in our database - we have
two records for the same person (one the correct person/image) and we've deleted
correct record on the second person.
If this happens when an image is being transcribed, the proofer should catch this, but it
will entail a delay as I'll have to go back in and reset the database. If it happens
when a record is being proofed, we'll never know of the error unless someone reports
the problem sometime in the future (by getting a search result where the transcription
doesn't match the actual image).
If you find you've submitted a record in error (by hitting the 'enter' key
before you've completed the transcription or proofing), you can reset the
transcribed/proofed status if you know the death volume and certificate numbers. If it
happened during transcription, you can notify your proofer using the 'contact
proofer' link and they can watch for it when they're proofing and either reset the
status to allow it to be transcribed again or complete the missing information themselves.
If it happens during proofing, and you don't know the death volume and/or certificate
number you can notify me and I'll try to find the record - I'll need something to
go on - the county and date you submitted the record at the very least - preferrably also
the name (it makes it easier for me to find).
If you have a record that the image doesn't match the information in the form (either
pre-filled or the transcription that has been submitted), please pend the record and
I'll take a look at it and figure out what records need to be reset.
You all do a fantastic job - this Project couldn't exist without volunteers like
yourselves.
Thanks,
Sherri
