Beginning March 2nd, 2020 the Mailing Lists functionality on RootsWeb will be discontinued. Users will no longer be able to send outgoing emails or accept incoming emails. Additionally, administration tools will no longer be available to list administrators and mailing lists will be put into an archival state.
Administrators may save the emails in their list prior to March 2nd. After that, mailing list archives will remain available and searchable on RootsWeb
We're running into a lot of instances where the transcribers accidentally
hit the Enter key and submit before they are finished or notices an error
and retranscribes the death certificate. In both cases, you'll receive more
than one transcription for the same death certificate.
If you are receiving transcriptions straight from MailMerge into your
e-mail, when you go into the folder to begin saving the messages as text,
sort the folder by the "received" field with the oldest received at the top
of the folder and the newest ones at the bottom. Then, as you save, you can
overwrite any duplicates and be sure the newest one will be preserved.

Each of you is now receiving a copy of your transcriptions in your e-mail.
That transcription output is generated by the MailMerge at RootsWeb. We've
noticed that sometimes those outputs are delayed. If you don't immediately
see your copies coming through, DON'T redo the transcription. If nothing is
coming through, let me know. Most of them will show up in your mailbox
within an hour. If most of them are coming through, just continue through
your folder and check for any missing ones at the end. If they still have
not arrived, go back and retranscribe the missing record.

Things are going well. We've had some bumps in the road these first few
weeks, but we anticipated that from the start and allowed some time to work
through these.
The first 1,100 transcriptions are completed and we are gearing up to begin
another batch in the next few days. These should go much faster. The
indexing of the first group will be ongoing for the next week. All of these
certificates are for death year 1911.
We continue to have good numbers of submissions from site visitors and are
getting them up in good numbers as well.
We're beginning to build a core of more experienced volunteers, which will
speed up the entire project. We're watching for leadership candidates to
emerge and invite those interested in becoming a permanent part of this
project to make their wishes known.
For those working as transcribers or proofers, the instruction pages have
been updated. We've begun dating and marking each change in red. The dating
and red highlight will remain for seven days. That will allow you to quickly
see what has been changed in the last week.

images have been uploaded and linked to the entries in the index. More are
in the queue and will be coming over the next few days.

Do you have Windows XP? If the attachment is dimmed and you can't open it,
try the following:
On the Outlook Express menu, select TOOLS/OPTIONS. From the OPTIONS menu,
select the "Security" tab. Uncheck the box that says "Do not allow
attachments to be
saved or opened that could potentially be a virus"!
Be sure to keep your virus detector is up-to-date.

I need one person who owns the Kentucky Birth Index CD.
You will also need to be a bit familiar with <tr><td></td></tr> codes of
html OR this can be entered into an Excel spreadsheet.
Volunteer will view each death certificate online and determine which
persons were born after 1910.
He/she will then go to the Kentucky Birth Index and get the birth entry
information.
The name, date, place, age and mother will then be input into an html
template OR Excel spreadsheet.
They will be sorted alphabetically by surname and sent to the indexer.
Time Commitment: Varies with number of documents being transcribed. Rough
estimate at this time is 1 hour per day. If the job becomes too heavy, we
will divide the duties with a second person.
Deadline: Reasonable turnaround expected. No fast deadlines.
Long-term Commitment: This is a long-term assignment.

We have changed the process a bit. We are now having two separate
transcriptions for each death certificate. A proofer will compare the two
and use his best judgment as to what will be sent on to the indexer.
This is taking more time, but will help the integrity of the project.
Some of you have asked what to do with unreadable names or nearly unreadable
names. Just put in your best guess. You can look at the father's surname and
the informant's signature for possible help on the deceased's surname.
Another person will put in his best guess, and the proofer will also have an
idea. If there could be several spellings, the proofer will have the ability
to note the alternate spellings in a COMMENTS section on the transcription,
which will be picked up by the search engine.
We will do everything possible to make sure these are transcribed and
indexed correctly, but the biggest reason we put up the browsable index is
because we know some of them will be wrong. The browsable index will help
researchers find those incorrect spellings.
I want to urge transcribers and proofers to print out, study and refer
regularly to the instruction page. When you run into something new, check
the online page to see if updates have been made to include your situation.

updated every time something new is brought to our attention. I will not be
making further announcements to this list regarding updates to that page. It
will be a continual process for the near future. The integrity of the
project rests to a large degree on your shoulders. Desire to be involved is
not enough. Commitment to doing it right is essential. I'm fielding a lot of
questions that are clearly stated in the instructions. While I am happy to
help you, it does take my time away from those tasks that I can't delegate
to anyone else.
We now have 1,100 certificates being transcribed for the second time. The
site has had 14,000 hits in 5 days. Things are going well!!
