October 31 is the last day for reporting roll call. If you haven't done so yet, here
is a new and convenient form to use. It has been tested and works just fine.

We still have eleven (11) counties that must report in by the deadline. Unreported
counties may be added to the adoption roster if we are not able to make contact with the
current FM. Remember that the email address you must use is also the address for
receiving this KYARC admin list mail.
Posting submitted files:
Is everyone able to keep up with all the KyArchive notices and posting to your counties?
If not, there is support out here to help you stay current. Let us know if you are
swamped at any time. Some folks use the TOC creator, which seems to be an easy way to get
the crunch down quickly. Everyone should already know that the automated submission form
also sends a copy to KyFootsteps. Adoptable counties are posted by the state and
assistant state file managers.
KyArchive Project Guidelines for FMs:
Our specific guidelines are really outdated and under review for major revision. With the
new automated submission form activated for each county, there is a huge impact on the way
we now manage our web pages today. Please review

KyArchive guideline revisions will adhere closely to the USGW Archive Project Guidelines.
Your feedback and input will help us bring our state guidelines current. Feel free to
share your thoughts and opinions.
Lost Contacts:
We have five counties with lost contact for the file managers. These are annotated on the
state TOC web page with no email contact address for the county FM. If anyone can help us
with this problem, please notify Suzanne or myself. The counties will be reassigned in
November if the current status does not change.
Problem Solving:
Having a hard time managing, finding, submitting or simply uploading files? Utility
software bugs driving you crazy? Backlog not getting enough attention? Can your ideas or
suggestions save everyone time with FM duties? You have a "Help Desk". You
can subscribe to it and it is also open to our contributors as well. Not sure if you can
get help planning vacation routes or getting the kids off to school, but it is a venue for
open forum discussion. The list is currently quiet as a tree falling in the forest. It
is a really good place to express opinion or even ask for directions. If you like,

KyArchive Directory Maintenance:
Quick link to see if your county has the necessary folders you need. You can easily
compare other counties to yours.

If you do not need a specific folder, it probably will not show up in your directory. Be
aware that the automated form feature will create a folder if it can not find an
appropriate folder for a given submitted file contribution. This may become confusing if
your directory has duplicated folders from past file managers. If a folder contains a
file from the Genrecords feature, you can not move that folder or file. It is linked
elsewhere on the Internet. Manually uploaded files by the FM have some leniency, but not
much. If you must move a file, be sure to chase down and correct all the links to that
file record. Talk about a nightmare... It is highly advisable to leave it alone until
USGWArch administrators provide us with a better solution to cleaning up the archive
directories for a more logical organizational approach to managing the records in the
folders. Seek help before making any major changes to your directory folders should that
ever become necessary.
KyArchive Roll Call:
This will be conducted at least twice a year or more if necessary. The new web reporting
form will replace the email response routine to alleviate padding the admin mail list with
all those replies. Please save the link now for future reference.
