Hi, just wanted to let you know, while checking the list at :

I noticed my email is incorrect for Caldwell.
Lyon county was correctly changed but whenever you have time Caldwell County should be
changed to
vickline@msn.com<mailto:vickline@msn.com> also. The bls address is no longer a good
address.

Roll Call -
We had a good roll call recently with only two counties not reporting back in. We have
27 counties on the adoption roster, which can be assigned to current FMs before soliciting
file managers outside the group.
Email Address - KyArc
It is very important your email address used for KyArchives is active and valid.
That address is the key for the automated forms feature that sends a file notice out to
the FM when public contributions are received from the feature. It is also the address I
use for our admin list to keep up with daily affairs (special situations may apply for
some individuals with two addresses). The county list of email addresses can be reviewed
anytime at
http://www.genrecords.org/kyfiles/countylist.php<http://www.genrecords...;.
Maintaining this list as accurate and current as possible is a must. Any changes or
revisions can be made at any time. Contact me or Suzanne if you see any discrepancy in
this roster.
You may be using an alternate email address contact on your TOC web pages, which must
be active so you can respond in a timely manner to any inquiries from your visitors. So
far, everyone has done an excellent job of keeping on top of this important issue. Thanks
a million for making my job much easier!
KyArchives Status -
As you all know, I have spent the last year maintaining our status and bringing us into
2008. To date, I am pleased to announce that the system is fully current and working
great. Adoptions are easily identified on the state TOC page. FMs are all happy with
their assignments and doing a great job. I have a new and complete master spreadsheet
that is updated daily as necessary. Any requests for administrative action can be handled
within 72 hours if I am not traveling on business. Suzanne can handle any emergency
requests in my absence with the new spreadsheet. The most important factor rests with
your involvement... without you, I would not have been successful. My greatest
appreciation is extended for all the cooperation and assistance from the group.
Mission Control -
This is your project, so I will touch base on the attributes of our web sites. We do
have to adhere to the USGW Archives Project guidelines. The USGWARCH archive directory
structure is still in disarray, but that is something we can not control or revise at the
state level. The proper logos and web links should always be on the main TOC page for
each KY county. The rest is up to the FM relative to creativity, design and relevancy of
a resource. Commercialism is a taboo on any project web page but that does not prevent
anyone from supporting their local organizations for research and posterity within the
genealogical community. Whenever a doubt arises about linking to such resources, we will
forward the concern to the appropriate level for review and response. Use the FM Admin
Mail List (this one) for help or communication any time you need support or assistance.
KyArc... or ... KyArchive - Email forums
KyArc email is this one and is restricted by use to only the KYGWARCH file managers.
This admin mail list is the main email communication tool for all of us to use and is a
mandatory subscription for every KYGWARCH file manager. It is here that we get all the
information necessary to complete our mission. Off-topic issues must be kept to an
absolute minimum and only used when deemed necessary. Let your common sense be the
deciding factor.
KyArchive email is the Help Desk and open forum mail list. This is where all the rest
of your communication can be shared with folks that choose to subscribe to that mail list
(yes, it is an open list). It is also a good discussion venue to get feedback or opinion
from your fellow FMs.
Innovations -
Your thoughts and opinions are as important as your county archive TOC. Don't feel
shy when you need to express a concern. Feel free to make suggestions or implement a new
and fresh idea. This year is wide open to improvements from all aspects of the KyArchives
Project at our state level. We are only a part of the overall picture, but we still carry
a lot of weight relative to the future expansion and growth of the USGW Archives Project.
We are the core engine that makes all the wheels turn.
In closing...
I would like to express my greatest appreciation for a job well done by every FM in
2007. Welcome to the new folks that joined us last year and I sincerely hope you will
enjoy your time spent with us this year. We still have a need for training and I hope to
manage this need as a special effort in the upcoming months. It looks like smooth sailing
from here forward. Take a few moments and consider sharing how I can better serve you as
the SFM. Your feedback is the best tool at my disposal.
