I want to stress something that Tom mentions below - be very careful when
moving the files on the ftp sites as there may be other counties that link
to your county's files (if the file is applicable for more than one county,
it is only uploaded by the automated forms to the first county listed). If
you move a file, you may cause a broken link on someone else's TOC page.
Make sure any directory structure you use matches what is set out in the
archives guidelines - this is important for the search engines so that
they'll pick up what they should. (Certain other FMs from other states tend
to get really testy if they think you're not following the prescribed
format, too.)
While I'm at it, since there are several new FMs (many of you may know this
already), there are actually 3 servers that you can use to upload files
through the automated forms - they are
http://www.genrecords.org,
http://www.genrecords.net or
http://www.poppet.org. Files submitted to any
of the three are treated the same, the ending on the file signifying the
file type will be slightly different, though, so you can tell which server
it was submitted on.
There are at least 2 mail lists that you might want to subscribe to that
deal strictly with the archives and/or the automated forms -
genrecords(a)genrecords.org and archives(a)rootsweb.com the
genrecords(a)genrecords.org is strictly for the automated forms users - if
there are issues identified with the forms or servers, Debra or David will
post messages to this list. You can also ask questions on this list if you
wish if you don't know how something is done or why it is behaving the way
it is.
One other great feature that David has added is the TOC creator - it's found
at
http://www.genrecords.org/toc/. This will actually create a TOC of all
files submitted that match the specifications that you enter and you can
then just copy and paste this into your page. Note, though, before this
will work, your TOC page has to be set up in the same format as what is
created. You can search by a single server, or use the "all servers" option
and you'll get everything in one. Text files usually are there for about
4-6 months, depending on how many files are submitted overall, but the photo
files are purged after about a week, so if you want to use this, you need to
make sure that you stay current. You can also download a new copy of any
file from the server if needed. There's also what I call a "last files"
page - it's here

will give you a list of all files submitted for the last 4 days - you can
vary this by changing the number of days at the end of the string. You can
also substitute the different servers to get what was submitted on each (no
option for all servers in one on this one).

Use your best judgment and continue to follow the guidelines set forth by

Keep in mind that shuffling files can also create havoc with URLs. Purging
files and cleaning up directory folders should be done with caution and
great insight relative to the expected results. Visit other USGWARCH web
sites in other states to get an overview perspective of how the national
trend is flowing.
