Beginning March 2nd, 2020 the Mailing Lists functionality on RootsWeb will be discontinued. Users will no longer be able to send outgoing emails or accept incoming emails. Additionally, administration tools will no longer be available to list administrators and mailing lists will be put into an archival state.
Administrators may save the emails in their list prior to March 2nd. After that, mailing list archives will remain available and searchable on RootsWeb
Lorrie,
As far as I know it has never been a pre-requisite that the person the file
is about had to reside in that county. I have seen many files that were
about folks who's parents or siblings had county connections etc. As long as
there is some type of link, no matter how tenuous. Sherri has always said
that you are free to link to the KY Footsteps files and to make things much
simpler, just use the name already given them as your link.

They don't have to live in your county only made history there.
An example would be a person who was traveling. Let's say for the sake of
argument it was a man who was born in Mason County, lived in Greenup County
and he died just as he crossed from Bath to Montgomery County. With half of
his body in each county his death information would be posted to Bath or
Montgomery Counties and linked to by Mason and Greenup Counties. If a person
makes history in a place they can be included without them actually living
there.
Another not so morbid example would be a marriage. Tom who lived in Carter
County ran away to Clark County with Susie who lived in Letcher County. The
file would be posted in Clark County and linked to by Carter and Letcher
Counties.
Have I confused you more?
Darrell

Darrell,
Thanks for help but that wasn't what I was asking about. It is difficult
to word the question.
While searching the footstep files, I have found files of events that
occurred in some of my counties but I don't know if they should be
linked to or copied to any of my counties because I don't know the rules
for determining which files should or should not.
Must the person involved in the event be required to have lived in one
of my counties ? Does this make sense?

Hi Folks --- (didjah miss me?)
I've been held captive off base long enough on that project. <grin> Hopefully, corporate will let me take a breather so I can get everything caught up this week with our archive business. [This puts me back on line at this desk with tons of more chores to do - bummer!]
First, please note I am still reading tons of email backlog and will address every issue in the lot. If you did not get a reply to earlier email, it may be forthcoming yet.
Second, and very important, we have had many changes since FEB and the last roll call. This forces us to make sure we have everyone on board and posted daily. Also, the FM roster must be in order for the last quarter this year. Suffice it to say, the roll call will begin immediately and run thru October in case we have some folks away on vacation or recovery. In the last roll call, there were two counties NOT REPORTING. We held off on this anomaly because there may have been extenuating circumstances. Those have been cleared and we expect to hear from all FMs on the roster today. I will post the current roster after we have roll call.
Next is the requests for adopting counties. If you have one submitted, it will be approved very soon so keep your eye cued for the response. My position on this issue is that any current FM has preference on adoption over the general public. It is so much easier on everyone without the training curve.
And finally, I have another huge buildup in files for the archives. This bear never sleeps and stays hungry 24-7. I will be sending out individual notices as they are processed for each county.
Enough rambling for now... There's work to get done and time is short when you get paid to vacation for a living <grin>.
Be well all...
Tom
List members,
Being somewhat new to the archives, I would appreciate some help. How
are files being named? Files that are either (1) copied and moved to a
county directory or (2) linked to?
Also, must a person have lived in a county for their file to be included
in that counties directories? I have found several files of events such
as birth, death and/or pension records that occurred in my counties but
I don't know if the persons involved ever lived in my counties?
Are there any guidelines?
Lorrie

Hello all,
I would like to adopt the Letcher Co. Ky. archives website. I e-mailed
Tom but realized he is probably out of town. So who would be the next
person in line to contact, Suzanne ? And, is there a web page that
lists all contact persons and their titles for Kentucky?

I was thinking of just putting the Henderson Co. background as a background
with the tables staying white, but I've changed my mind anyway. I think it
looks better to match the rest of the archives.

Hi again Tina... I spoke with Sherri and Katy Hestand and they said that an
FM can make the pages any way they want so long as the basic toc format is
the same as the state page. Unfortunately that doesn't allow background
color etc. So unless Tom gave permission then I don't believe you can do it.

Please note we have a change in processing files submitted through the
public automated forms feature web site. The system now diverts any photo
submission larger than 300Kb and the accompanying text file directly to the
KY Archive State File Manager (SFM). This additional step allows the
graphic file to be reduced in size for storage in the KYGW Archive
directories on the server.
F Y I :
1) All photo submissions are stored in the archive_html folders for ONLY the
first county listed in the submission form.
2) All automatically generated text files are stored in the archive_ftp
folders for ONLY the first county listed in the submission form.
3) The form submission process will send the text file and accompanying
photo directly to the county if the graphic file size is less than 300Kb.
4) Multiple counties can be identified by the submitter and those relative
FMs will also get the standard archive notice so they can include the URL
link found in the text file to their respective archive tables.
When the SFM is notified of a resizing requirement, the photo size is
reduced, the text file is edited to reflect the correct file size and the
respective FMs will be sent email to let them know the submission is finally
uploaded to their archive folders as noted by the URL links in the text
file. Submissions with graphic files under 300Kb are processed normally
without this additional step in the process.
Please let Suzanne or myself know if you have any questions about this
update. The purpose for the change is to help ensure submissions get fully
processed timely and we can disseminate the workload evenly. Submissions
should no longer sit in backlog status too long and we can support our web
sites more efficiently. The backlog is being purged daily and I hope we can
better control any future problems with missing or lost form submissions.

Lorrie,
Frequent attrition or resignation by a coordinator of a web site is common. The replacement of that "old" coordinator will provide a "new" person with additional ideas or information to manage the web site. Hence the regular changes in a web site as published. Old web pages are replaced with new web pages relative to authorship of those pages from a different webmaster. All the file information remains within the server directories for use or transition relative to the restructuring of the resources as published for each county.
Simply stated, the county is adopted and the reassigned coordinator uses the previous web pages to publish their own version of the web site. This takes a real effort to reorganize the material and make sure everything is included that was already available. The resource files remain exactly where they are stored and the links to those files are still valid, even though the web site has changed.
My best recommendation is to communicate with the file manager (FM) to help identify any links to information or material known to be in the county resources from earlier published web pages. Any oversight can then be included in the revised web pages for reference. With hundreds of web pages in some counties, the practice of restructuring and reorganizing all the web pages can be a long term effort.
Let me know if I have not cleared up any confusion.
Regards
Tom

Tom,
You recently replied to my call for help concerning some Floyd co. and
GenWeb files. I am reading your reply but am still confused. Can you
make this much clearer? What pages are you defining as "old" and what
are the "new" and what does the change in cc cordinators have to do
with the situation?
Here is your response:
*****************************
Lorrie, et al
The web pages may be new relative to a change in county coordinators. The old pages will still be in the directories and the new pages are current links from KYGW main sites. Old home pages are kept for reference by many CCs. New home pages are the ones maintained as current for the county.
It's not likely that the additional research info is being stored from the public, but rather a CC may still be transferring old material to the new web pages. Also, keep in mind that folks hold copyright on their original web pages published.
I think this is why there are separate web pages for the same resource and, if true, the CC should be informed about the confusion. Kathy Hamilton is the CC for Floyd County, KYGW.

Hi Suzanne,
A few months ago I sent my resignation as Wayne Co, KY
FM to ??Tom??, but I don't think I was ever removed.
Can you please put Wayne Co up for adoption? Due to
my busy schedule, I am unable to give it the attention
that it requires.
Thank you,
Marilyn Fisher
